What this covers
Tokei is a time tracking tool. Your employer gives you a Tokei account and decides how it is used. This policy covers the Tokei website and the Tokei browser extension.
What the extension does
The extension lets you log in and out, choose a status (Actively Working, On Meeting, Meal Break or Bio Break), and shows your timer and meal break allowance.
What we collect
- Account details: your username, display name, role and time zone. Passwords are stored only as a salted hash.
- Time records: when you log in and out, each status you choose and when, corrections you request, and your scheduled work hours.
- Activity state: while you are logged in and not on a meal or bio break, the extension checks whether your computer has had recent keyboard or mouse input and records one of three words: active, idle or locked. These are saved in 5 minute periods.
- Sign-in session: the extension reads your Tokei sign-in cookie so it can act as you on the Tokei server. It reads no other cookie.
What we do not collect
The extension does not read the pages you visit, your tabs, page addresses or titles, page content, what you type, your screen, or anything on other websites. It sends data only to the Tokei server at track.tokei-app.com.
Who can see it
- You can see your own timesheet, statuses and corrections.
- Managers and administrators at your employer can see team timesheets and the activity state records.
- Administrators manage accounts and scheduled hours.
Your data is not sold, shared with advertisers, or used for anything other than recording working time, payroll and managing your team.
Where it is stored
Data is kept with our hosting provider (Render) and database provider (Turso), who store it on our behalf. Times are stored in UTC.
How long we keep it
Time records and activity records are kept for up to 24 months, then deleted.
Your rights
You can ask to see, correct or delete data about you, subject to legal and payroll record-keeping requirements. Ask the administrator who gave you access to Tokei.
Changes
We will update this page if what we collect changes, and change the date above.
